Book an event dj who arrives with the lighting rig and the photo booth already in the truck, based in Hercules, California and covering the wider region. This starting tier runs a full four to six hour reception with one experienced lead operator, professional sound, dance floor lighting effects and a self serve photo booth, on a published flat rate.
Three services, one operator, one contract
Booking a dj, a lighting supplier and a photo booth separately means three contracts, three deposits and three arrival windows. Here one lead operator covers all of it, including the announcements, the song request fielding and the MC moments, without a separate emcee hire. Over two decades of weekend reception work sits behind that, which shows up in timing and crowd reading.
Four to six hours, and where the extra time goes
Coverage runs four to six contiguous hours, counting dinner background music, the formal moments and the dance sets. The formal block covers the first dance, the parent dances, the cake cutting, the garter and bouquet and the send off. Beyond the six hour ceiling, extra time is added in one hour blocks, and a ceremony sound system can be added when the ceremony and reception share a venue.
Lighting in two layers: the floor first, the room optional
Dance floor lighting is standard here and it is rigged on a single truss stand: moving heads and wash lights aimed so the floor reads on photographs and video without spilling across the dinner tables. Room uplighting around the perimeter walls is the most requested addition for couples who want the venue to photograph in their color palette. Amber, blush and deep blue kits are pre built, and a color can be matched from a swatch or an invitation. A projected monogram on the dance floor or the head table wall is available as a second light treatment.
Two hours of open air photo booth
The photo booth is open air and runs for two contiguous hours inside the reception window. Two hours is deliberately less than the full reception.
From a forty guest cocktail reception to a two hundred guest ballroom
The same setup scales between a cocktail reception of around forty guests and a ballroom event of roughly two hundred without changing rigs, and the sound system is sized for the room with backup amplification on hand for outdoor patios or two room receptions. A wireless handheld microphone for toasts, speeches, blessings and announcements is included rather than charged for. It is not wedding only: the same booking suits birthdays, anniversaries, engagement parties, holiday gatherings and milestone celebrations, and a party dj booking gets the same rig.
Flat rate pricing and itemized add ons
Pricing is published as a flat rate, which lets a couple plan venue, catering and entertainment side by side without a surprise line item afterwards. Add ons are itemized before the deposit so the final number is locked in writing. Backup sound and microphone gear travels on the truck. Dj services priced this way are easier to compare than hourly quotes with variable extras.
Planning portal, load in and the day itself
After the deposit a planning portal opens with the must play list, the do not play list, the processional cues and the run of show, with separate forms for the couple, the parents and the planner. A planning call two weeks out walks through the grand entrance, the parent dances, the toasts and the open dance set. Load in covers gear installed in place, room sound balanced and a microphone check with the officiant or MC. On the day the operator coordinates with the planner, the venue manager and the catering captain on the dinner to dance transition.
What the venue has to supply
The venue must provide one grounded one hundred twenty volt outlet within fifty feet of the dance floor, and a covered setup area if the event is outdoors. Load in begins ninety minutes before guests arrive; a venue that cannot open that early has to confirm in advance so an early access fee can be quoted. Travel within a fifty mile radius of the home base is included, and travel beyond that radius is quoted in advance and added to the invoice before booking. Out of region multi day bookings carry a lodging line item.
Deposit, balance, cancellation and insurance
A non refundable booking deposit reserves the date and the operator, and the balance is due in full no later than fourteen days before the event; a date hold without a deposit is not guaranteed. Cancelling more than ninety days out forfeits the deposit but carries no charge for the balance, while cancelling inside ninety days means the full booking amount is owed because the date can no longer be resold at full rate. Damage to the booth beyond normal wear during the rental block is the host's responsibility, and unwanted booth content can be pulled from the digital gallery on request before it is shared with guests. General liability and equipment insurance are carried.
