  1. Now to Friday, October 2 (10 weeks out): agree date, headcount range and budget, then request the venue. The ballroom is non-refundable once confirmed.
  2. By Friday, October 16 (8 weeks out): request catering, the DJ and a Santa if families are invited.
  3. By Friday, October 30 (6 weeks out): request the photo booth and any extra lighting.

The ballroom and the Financial District lounge list "Responds within an hour"; the bar service and caterer within 2 hours; the DJ and photo booth within 3 hours. A fast reply is not availability, so send two or three requests at once.

Which holiday party vendors can you book last-minute?

The easiest late bookings here are the Financial District lounge, which lists a Flexible policy (up to 7 days before), and the mobile bar, which comes to your office, both subject to availability. The DJ lists one event per day, so a late request only works if your date is still open.
