The engagement opens with a discovery call to pin down scope with that contact, and the production load then shifts across so your own team can attend its event instead of working it. Planning sessions are called as the program needs them rather than set to a monthly rhythm, because corporate timelines compress and stretch in ways a wedding calendar does not. Email carries the traffic, responses come back inside a day, and no more than two events are in production at once. The Same Planner Start to Finish
This is an owner run practice, a solo planner rather than a crew. Whoever takes the discovery call drafts the run of show, sits in supplier meetings, walks the room and stands in it on the day. The Run of Show
The central deliverable is a run of show covering load in, the program itself, the transitions between segments and breakdown afterward. Cues for speakers, presenters and entertainment are scheduled into it rather than improvised from the wings. Audio visual coordination belongs to the planner alongside on site supplier management, and on the day the lead planner is in the room. A rehearsal or walk through is coordinated the day or evening before where the program calls for one. On the event day the lead planner is your single point of contact for every vendor, so family and wedding party logistics questions go to the planner rather than to vendors during set up.
Venue Research and Room Flow
Venue research, site visits and floor plan creation are included, so room flow is designed for your program rather than inherited from the venue's last layout. Contingency planning for weather is standard scope, which matters for any reception with an outdoor component, and multi day agendas are supported. The service window runs four to nine hours. Hours beyond the booked service window are available at a published rate. An equipped event day kit is brought to the event.
Brand Standards and the Supplier Short List
Suppliers are shortlisted against your brand standards and budget rather than a house aesthetic. The working roster for company work is a focused one, and the design service level is concept and mood board rather than a full design vision. Sourcing, negotiation, contracts and payment management are covered, with commission and referral arrangements disclosed and payment running direct from you to each supplier.
What Lands on Your Desk Afterward
Post event work covers a supplier wrap, invoice reconciliation and a written debrief. For an internal event planner that closing package matters as much as the evening, because finance and leadership read it.
Coverage, Lead Time and Compliance
Programs are produced across the Monterey Peninsula, Santa Cruz County, the Bay Area generally and the vineyard belt inland, with a second arm of the practice working Jackson, the neighboring Mississippi counties and the East Coast for offsites held away from headquarters. Local driving is included; past the free radius it is quoted per mile. Travel for destination events outside the standard service area is quoted in the proposal and includes mileage, per diem and lodging where applicable. The planner works in English and Spanish, with cultural depth in Latin American celebrations. Lead time is typically three to fifteen months, and rush requests depend on the calendar. The package is a flat rate published above. Setup and breakdown are covered by the flat rate. The planner works to a minimum overall event budget, and that figure is confirmed on inquiry. A signed planning agreement and a deposit reserve the date, and the payment schedule for the balance is set out in the signed agreement. Final headcount and any scope additions are settled at the four week mark and quoted in writing. A certificate of insurance is available on request, backed by general liability, professional liability and a current business license. Supplier introductions come from a preferred contractor list and are limited to insured and licensed contractors unless your team has already appointed its own.
